Why Your Stocklist Format Matters

A bulk buyer reviews dozens of stocklists a week. A well-formatted Excel file gets priced first, gets a detailed line-by-line offer, and avoids back-and-forth questions. A poorly formatted file — missing columns, mixed model names, no grade — gets a generic ballpark figure or no response at all.

The Columns Buyers Want

Use one row per device and include these columns:

  • Brand — Apple, Samsung, Xiaomi, etc.
  • Model — Full model name, e.g. 'iPhone 13 Pro', not just 'iPhone'.
  • Storage — 64GB, 128GB, 256GB, etc.
  • Colour — If known; matters for some buyers.
  • Network — Unlocked, or carrier if locked (e.g. 'EE UK', 'Vodafone DE').
  • Condition / Grade — A, B, C, faulty, or BER.
  • Functional Status — Working, faulty (describe fault), or no power.
  • Boxed / Accessories — Yes or no.
  • Quantity — Number of units for this line.
  • Notes — Anything relevant: iCloud lock status, MDM, cracked screen, missing battery, etc.

Common Mistakes That Slow Down Pricing

Mixing multiple devices into one row (e.g. '10 x assorted iPhones') forces the buyer to ask for a breakdown. Spelling models inconsistently ('i phone 13' vs 'iPhone13') makes filtering difficult. Leaving the grade blank or writing 'good condition' instead of a letter grade slows the process. Lock status is critical — an iCloud-locked iPhone is worth a fraction of an unlocked one, so always declare it.
